Annual Reporting: Attendance Homeschools[ Back to Top ]

Homeschools will report ADM (average daily membership) and ADA (average daily attendance) during the Annual Attendance Reporting window. These numbers will be added together by the system to calculate the total ADM, ADA, and ratio of attendance for the homeschool. The tab for reporting will appear in the Nonpublic School Application once the reporting window has opened.

Please note, the attendance days are reported as an aggregate total and not on a per day basis.

When you enter the Annual Attendance Reporting tab, you will be asked:

  • How many total days was your school open (Example: 180 days)
  • For each student, how many days they attended (Example: Student 1 – 180 days, Student 2 – 175 days)
  • If any students are withdrawing, you will enter a withdraw date
  • If any students graduated 12th grade, you will enter a graduation date

Homeschools will also have the option to complete their annual enrollment report during annual attendance reporting. This option can be selected on the final screen of attendance reporting.

Closing your homeschool and/or returning to public school

If you would like to close your homeschool and/or your student is returning to public school for the upcoming school year, please be sure to withdraw students while completing reporting. This is all you will need to do within the NPS system. On August 10th any school without students will be closed for the upcoming school year.

If you would like to print an updated Acknowledgement Letter showing that your student(s) is/are withdrawn, please log into the NPS Application via EdAccess. Select the Records tab at the top of the screen and then Acknowledgement Letter. You will need to select the School Year for which you want to print the letter. You can click the Print All button to print the letter containing all students in the school, or you can select specific students and then click the Print Selected button.

Completing Annual Enrollment during Annual Attendance

Homeschools will have the option to complete enrollment for next school year at the same time . When you opt to submit Annual Enrollment for next school year while reporting Annual Attendance, you will not be able to see your enrollment information for next school year until the NPS system rolls to the new school year on August 10th.

This means:

  • Your students will continue to show in their current grade. Once the system rolls, they will be promoted to the next grade level
  • Under the Reporting Tab -> Annual Reporting, the Attendance report will show the Annual Attendance information you just submitted for the current school year. The Enrollment report is showing the Annual Enrollment information you submitted at the beginning of the current school year. It is not showing the enrollment information for next school year
  • Once we roll to the new school year, under Reporting Tab -> Annual Reporting, the Enrollment report will show the new enrollment information and the Attendance report will not be accessible until Annual Attendance is reported at the end of the new school year

Annual Reporting: Attendance Private Schools[ Back to Top ]

Private Schools will report ADM (average daily membership) and ADA (average daily attendance) per grade range during the Annual Attendance Reporting window. These will then be added together to calculate the total ADM, ADA, and ratio of attendance for the school.

ADM is calculated by adding together the total enrollment days per student within a grade range. ADA is calculated by adding together the total attendance days per student within a grade range. The ratio of attendance for the school is calculated by taking grand total ADA divided by grand total ADM.

Example
Your Private School was open 180 days. You have three 1st grade students, and two 8th grade students.

Calculating ADM:
1st Grade Students

Student 1 – Enrolled for the entire school year, 180 days

Student 2 – Enrolled for the entire school year, 180 days

Student 3 – Enrolled for half of the school year, 90 days

1st Grade ADM = 180 + 180 + 90 = 450

8th Grade Students

Student 1 – Enrolled for the entire school year, 180 days

Student 2 – Enrolled for a quarter of the school year, 45 days

8th Grade ADM = 180 + 45 = 225

Grand Total ADM = 1st Grade ADM + 8th Grade ADM = 450 + 225 = 675

Calculating ADA:
1st Grade Students

Student 1 – Has perfect attendance, attends 180 days

Student 2 – Attends 175 days

Student 3 – Attends 80 days

1st Grade ADA = 180 + 175 + 80 = 435

8th Grade Students

Student 1 – Attends 170 days

Student 2 – Has perfect attendance, attends 45 days

8th Grade ADA = 170 + 45 = 215

Grand Total ADA = 1st Grade ADA + 8th Grade ADA = 435 + 215 = 650

Calculating Ratio:
Grand total ADA divided by grand total ADM = 650/675 = 96%
